As an Accounts Payable Supervisor, you will provide professional and friendly service to all patrons while assisting the Financial Controller in managing the Finance department. In this role, you will be responsible for ensuring the accuracy and integrity of financial transactions regarding accounts payable and maintaining a systematic approach to the hotel’s financial administration.

Responsibilities

  • Match authorized Purchase Orders and delivery dockets to supplier’s invoices, ensuring accuracy of calculations and extensions.
  • Ensure that all supplier invoices are received and approved before posting or acceptance into the Accounts Payable system.
  • Review the accuracy of coding for expenses/invoices.
  • Perform reconciliations of the supplier’s statement.
  • Prepare payments to suppliers promptly, optimizing credit facilities and ensuring entitled discounts are taken.
  • Maintain the Accounts Payable Ledger effectively.
  • Comply with and adhere to all hotel policies, procedures, and relevant legislation.
  • Report any hazards, risks, or accidents as required.
  • Follow directions provided by senior management.

Key Tasks

  • Review and approve all invoices keyed in by the Cost Controlling Department.
  • Verify that all invoices are bona fide contractual obligations of the hotel, ensuring they are duly approved, calculations are correct, and goods have been received and ordered by the hotel.
  • Process or transfer all invoices to the Accounts Payable ledger daily.
  • Ensure all batch totals of invoices processed are completely captured and posted by the system.
  • Reconcile the subsidiary accounts payable ledger with the general ledger control total on a daily basis.
  • Conduct monthly reconciliations of the supplier’s statement to the accounts payable subsidiary ledger.
  • Produce proposed payment schedules by the 10th and 20th working day every month for Financial Controller approval prior to processing cheque runs or electronic transfers.
  • Present cheques drawn with supporting documents or invoices to the Financial Controller and General Manager for signatures.
  • Maintain and file all unpaid and paid invoices orderly by supplier accounts.
  • Use and run cheques in sequential order and maintain a manual log of all cheque numbers used.
  • Ensure that all credits and discounts offered by suppliers are timely accepted.
  • Perform any other duties as required by the Financial Controller or management.

Occupational Health & Safety

  • Follow hotel safety standards and adhere to all rules established under the Occupational Health and Safety Act, taking reasonable care to prevent putting yourself or others at risk.

Qualifications

  • Minimum of 3 years of experience in a similar role, preferably within the hospitality sector.
  • Bachelor’s degree in Accounting, Finance, or a related field.
  • Strong knowledge of MS Excel and accounting systems.
  • Solid understanding of accounts payable processes and general accounting functions.
  • Ability to work independently, meet deadlines, and effectively supervise AP operations.

Visa Requirements:
Candidates must be eligible to live and work in Dubai. The company will cover visa costs and flights for selected candidates from their place of origin.
