About the Role
We are currently recruiting for an Assistant Manager - Hard Services to join our Total Facilities Management team in Dubai. The Assistant Manager - Facilities Management Hard Services role is responsible for assisting and supporting the Facilities Manager/clients in managing day-to-day operational management for all FM services, ensuring that the facility is fully maintained, functional, and safe for building users. This role includes overseeing maintenance activities, coordination with vendors and contractors, housekeeping, and soft services while ensuring compliance with relevant safety guidelines and implementing facility projects.

Responsibilities

Financial Management:
- Assist in preparing a monthly report with operational data to support the review of the financial performance of the contract.
- Ensure FM services are delivered as per sold solution manpower resources only.
- Explore further business opportunities with the client, managing the team structure and developing it to ensure operations run smoothly and within budget.
- Identify and record continuous improvement initiatives, focusing on process improvement or cost improvement.
- Manage project service delivery performance, ensuring compliance with SLA/KPIs.
- Add value to the client’s business by presenting initiatives that drive down costs or aligning proposals with their business goals.
- Deliver FM services in line with agreed contractual SLA/KPIs to avoid penalties and deductions.

Customer Relations:
- Work with the team (AFM/Engineers/Supervisors) to devise and conduct necessary induction and continuing training for new staff.
- Plan all transport/accommodation requirements well in advance of contract start dates, maintaining close liaison with the transport/accommodation division.
- Ensure all service level agreements within the contract scope are maintained, monitored monthly using client evaluation forms, and resolve any issues escalated to senior management.
- Procure materials/services/projects in close coordination with the procurement team, strictly following procurement policies.
- Manage Specialist Services contractors/vendors within the scope of responsibilities.
- Report all contract staff sickness, absence, and holidays following company policies and procedures.
- Liaise regularly with clients to maintain high standards and exceed expectations.
- Develop excellent working relationships with clients at equivalent levels, holding regular meetings for smooth contract operations.
- Undertake site visits to assess staff performance and address any client-raised issues regarding service quality.

Process Management:
- Manage Contract Service Delivery per best industry practices, international FM standards, and compliance with local statutory guidelines.
- Oversee project planning from mobilization to demobilization stages.
- Order project equipment and machinery as necessary.
- Conduct regular communication meetings with clients.
- Ensure contract staff induction and continuous training on best industry practices and established SOPs.
- Monitor contract teams at regular intervals to ensure compliance with operational standards.
- Carry out monthly account reviews with the Line Manager.
- Monitor resource utilization to ensure availability of the right talent for service delivery.
- Collaborate with other Managers, attend client meetings, and assist Facility/Account Managers in pricing services for new proposals.
- Prepare for monthly staff meetings and daily/weekly briefings with Managers and team Coordinators/Senior Supervisors.
- Conduct monthly site visits and provide feedback to Managers and supervisors.
- Create and monitor assigned contract SLAs, ensuring alignment with service delivery and client expectations.
- Monitor and control execution of maintenance contracts, reviewing preventive and corrective maintenance programs.
- Ensure timely invoicing in coordination with central Admin and Finance Teams.

Innovation:
- Execute energy management projects on the contract by identifying improvement opportunities and seeking guidance from the energy manager.
Selection Criteria
- 7+ years of experience in facility management, ideally in a managerial position.
- Bachelor’s degree in engineering or equivalent degree in facilities management.
- Experience in people management with good influencing skills.
- Proven project management skills and experience leading continuous improvement projects.
- Strong commercial and contract awareness.
- Valid UAE driving license.
