The Project Coordinator maintains project plans, trackers, action logs, and documentation; coordinates meetings and follow-ups; monitors milestones and dependencies; and highlights risks, delays, and blocking points for timely resolution. The role contributes to a consistent, well-communicated customer experience from project initiation through implementation, acceptance, and closure. This is a developmental project-delivery role suited to someone with strong organization, communication, and follow-through skills who is building practical project management experience in a telecommunications, information technology, or service-delivery environment.
What You'll Do
- Support the coordination of customer implementation projects and operational initiatives from initiation through closure.
- Assist with developing and maintaining project plans, schedules, milestones, action trackers, and delivery checklists.
- Coordinate activities across internal teams, customers, and third-party providers, ensuring that owners, deliverables, and due dates are clearly recorded.
- Schedule and organize project meetings, prepare agendas, capture decisions and minutes, and follow up on agreed actions.
- Monitor project progress against scope, timelines, and Ready for Service dates, and promptly flag delays, risks, dependencies, or blocking points to the Project Manager or Service Implementation Manager.
- Maintain project risks, issues, actions, decisions, and change logs, ensuring records are current and accessible to relevant stakeholders.
- Provide accurate and timely project status updates and contribute to internal and customer-facing reports.
- Support communication with customer stakeholders throughout implementation, including progress updates, scheduling, testing, acceptance, and handover activities.
- Coordinate required project resources, site access, equipment, documentation, and dependencies with the relevant teams.
- Assist in tracking project-related costs, orders, and deliverables and highlight potential variances for review.
- Support testing and acceptance activities, track outstanding defects or actions, and obtain and file completion documentation and customer sign-off.
- Maintain complete, accurate, and securely stored project files, including plans, job packs, meeting records, approvals, test results, change requests, and closure documents.
- Create and update service requests, work orders, circuit IDs, and related records in the relevant business systems, as required.
- Follow established project management standards, templates, and governance requirements, and recommend practical improvements to coordination and reporting processes.
- Provide coordination support across multiple concurrent projects and priorities, including projects involving teams or providers in different Caribbean markets.
Knowledge & Experience
- Associate degree or bachelor’s degree in Business Administration, Project Management, Information Technology, Telecommunications, or a related field; equivalent relevant experience will also be considered.
- One to three years of experience in project coordination, service delivery, operations, administration, or a similar role is preferred.
- Foundational knowledge of project management principles, project lifecycles, and common project controls.
- Experience maintaining project plans, trackers, action logs, meeting minutes, and status reports.
- Proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Teams; exposure to Microsoft Project, Visio, or similar tools is an advantage.
- Experience using enterprise systems such as Salesforce, SAP, ticketing, order-management, or billing platforms is an advantage.
- Strong written and verbal communication skills, with the ability to communicate clearly with customers, colleagues, and third-party providers.
- Strong organizational and time-management skills, with the ability to manage multiple priorities and follow through on commitments.
- Good analytical and problem-solving skills, with close attention to detail and accuracy.
- Basic understanding of telecommunications, information technology, or managed services is desirable; willingness and ability to build technical knowledge is essential.
- Exposure to Agile, Waterfall, or hybrid project methodologies is an advantage.
- CAPM, PRINCE2 Foundation, or another entry-level project management certification is an advantage but not required.
