Coordinator-Facilities Management Soft Services

About the Role
We are currently seeking a Coordinator - Facilities Management Soft Services to join our Total Facilities Management Team in Dubai. This role is crucial in assisting the Operations Manager and Account Manager in delivering contractual FM provisions related to Soft Services. You will ensure time-bound and quality service is offered to customers in accordance with contractual requirements while managing a diverse cleaning team across multiple sites. This position plays a critical role in the smooth and efficient operation of cleaning services, maintaining high standards of cleanliness and hygiene, and delivering exceptional customer satisfaction.

Responsibilities

• Financial

  • Ensure daily deployments are maintained as per the contractual requirements.
  • Ensure invoice information and client approvals are shared within the stipulated time frame.
  • Maintain contractual KPIs in line with the scope of work.
  • Provide efficient and effective coordination for smooth IFS operations.

• Customer

  • Coordinate with all internal stakeholders for new contract mobilization.
  • Maintain healthy and effective communication with internal departments and clients.
  • Take timely actions on client escalations and operational needs.
  • Identify and address operational challenges or issues, implementing solutions to improve efficiency.
  • Manage resources and ensure smooth operations at all sites.
  • Conduct regular cleaning audits across all contracts.

• Process

  • Create work schedules in line with contractual scope for seamless delivery.
  • Report any service variations to the Operations Manager.
  • Utilize CAFM systems effectively as required by the contract.
  • Maintain records related to disciplinary actions, incident reports, and annual leave for reference.

• Innovation

  • Identify and implement technology solutions for cleaning operations.
  • Develop new methods to improve cleaning effectiveness.
  • Create customized cleaning solutions based on client needs.

Requirements

• 2-3 years of experience in a similar capacity.
• BICS certification or equivalent certification.
• Good written and verbal communication skills in English.
• Valid UAE driving license.
• Extensive knowledge of computer and reporting systems.
• Good understanding of cleaning operations, including machines, chemicals, and processes.
