Key Responsibilities
- Check, validate, and upload prospect registrations and contact details on ERP before creating new customer accounts or reactivating existing accounts based on the Customer Information Sheet (CIS) and updated registration certificates.
- Follow up on submitted requests for credit checks and insurance coverage with providers, updating progress in the relevant ERP systems, and recommending credit facilities according to the Group Credit Policy (GCP) and Financial Credit Authority (FCA).
- Regularly monitor aging accounts to identify changes in business behavior, trading growth, payment patterns, or anticipated risks, proposing corrective measures to secure adequate credit facilities and maintain timely collections with the lowest days sales outstanding (DSO).
- Liaise with Accounting Managers for account reconciliations to ensure updated Statements of Account (SOA) and Balance Account Confirmation (BAC) at all times.
- Recommend necessary actions to ensure payments are made within agreed terms and recover outstanding or doubtful amounts, which could include extensions, insurance claims notifications, or legal actions.
- Validate requests for By-Pass Sales Orders (BPSO) for production or invoicing if accounts are blocked due to unpaid dues or credit limit issues, seeking corrections or management approval as necessary.
- Report expired certifications or updates needed on customer accounts to correct issues before accounts are blocked.
- Communicate with Business Unit (BU)/Sales management regarding coverage approvals/rejections and propose actions to mitigate risks.
- Allocate proportional coverage and optimize credit insurance coverage for customers interacting with multiple BUs.
- Prepare monthly declaration reports on executed shipments to insurance providers and coordinate the settlement of coverage premiums.
- Manage disputed irrevocable debts and collaborate with the relevant BU to prepare claims for assessment prior to submission to Legal Department or insurance providers for debt recovery.
- Follow up on claims with insurance providers and the Legal Department until cases are resolved.
- Report any anticipated or observed risks in countries or markets that are communicated by insurance providers or public news.
- Conduct visits to customer premises for audits in cases of significant changes in collection behavior or trade history.
- Perform credit checks on potential new suppliers to assist the Buyer Central Unit (BUC) and Logistics Central Unit (LCD) in supplier selection.
- Validate Supplier Information Sheets (SIS) and registration certificates for selected suppliers to create new vendor accounts in ERP and upload all necessary documents.
