The Digital Transformation Assistant supports the Digital Transformation team in coordinating, tracking, reporting, and administering key activities across Digital. The role assists with headcount tracking, vendor coordination, financial reporting, employee engagement, and internal communications, helping ensure that operational and governance activities are completed accurately and on time.

Key Responsibilities
- Headcount Administration & Reporting:
- Maintain headcount trackers.
- Support reporting on resource movements, vacancies, onboarding, and offboarding.
- Follow up on required information and approvals.
- Vendor Coordination:
- Coordinate with vendors and internal teams on onboarding, offboarding, renewals, and documentation.
- Maintain records and trackers.
- Escalate delays or exceptions to the supervisor.
- Financial Tracking Support:
- Assist in updating budget, invoice, and expense trackers.
- Gather inputs from stakeholders.
- Support the preparation of periodic financial reports and presentations.
- Employee Engagement:
- Support the coordination of town halls, monthly digital standups, workshops, recognition activities, and team events, including organizing, logistics, participation tracking, and feedback collection.
- Communication & Documentation:
- Assist in preparing and coordinating internal communications, including newsletters, videos, bulletins, employee awareness campaigns, and engagement initiatives.
- Maintain and manage RSCA records, information collation, and submissions.
- Support the development of presentations, action trackers, and governance documentation, and ensure timely follow-up and closure of key action items.
Operating Environment
- Work closely with Digital squads and relevant support functions, including Finance, HR, Procurement, and vendor partners.
- Coordinate with stakeholders across locations to gather information, update trackers, and support timely reporting.
- Support day-to-day operational, administrative, and governance activities within agreed procedures.
Problem Solving
- Apply attention to detail when maintaining trackers, reports, and records.
- Organize information, identify gaps or discrepancies, and follow up with the relevant stakeholders.
- Use basic analytical skills to summarize data and highlight exceptions for review.
- Manage multiple tasks and track pending actions against agreed timelines.
Decision Making Authority & Responsibility
- Prioritize assigned activities within agreed guidelines and timelines.
- Ensure trackers, reports, and documentation are complete and accurately updated.
- Escalate issues, risks, and exceptions to the supervisor for guidance or decision.
- Support the implementation of decisions and agreed actions.
Knowledge, Skills, and Experience
- Bachelor’s degree in Business Administration, Finance, Information Systems, or a related discipline.
- 4-6 years of experience in project coordination, PMO support, business operations, administration, or a similar role.
- Proficiency in Microsoft Office applications, particularly Excel and PowerPoint.
- Basic knowledge of digital productivity and automation tools such as Power Apps, Power Automate, SharePoint, Power BI, and Copilot is an advantage and will support process improvement, reporting, and operational efficiency.
- Strong organizational, communication, and time-management skills.
- Ability to work with multiple stakeholders and manage competing priorities.
- Knowledge of Agile ways of working is an advantage.
