The IT Governance Associate is a six-month fixed-term position focused on enhancing IT governance, technical documentation, and knowledge management across the company's critical IT environment. The successful candidate will blend practical technical knowledge with strong documentation and process discipline, collaborating closely with IT and relevant stakeholders to achieve clear and robust Standard Operating Procedures (SOPs). This role will involve validating documentation through practical use, identifying gaps, dependencies, and control weaknesses, and establishing effective standards that will endure beyond the initial engagement.

Contract and Progression
- Initial engagement is a six-month fixed-term contract.
- Subject to performance and organizational needs, there may be opportunities for extension or transition into a permanent role.
Key Responsibilities
Six-Month Deliverables
- Create a prioritized inventory of IT systems, processes, procedures, and existing documentation.
- Develop approved SOPs for agreed priority processes stored in the company-controlled knowledge base with named owners and review dates.
- Provide validation evidence confirming documentation can be followed by appropriately skilled users without undocumented assistance.
- Complete a register of documentation gaps, continuity risks, control issues, owners, actions, and status.
- Prepare a handover package detailing standards, ownership, review requirements, outstanding actions, and next steps.
IT Governance & Documentation
- Map and prioritize critical IT systems and documentation.
- Develop clear SOPs, runbooks, process maps, and other technical documentation for in-scope activities.
- Establish documentation standards covering ownership, version control, review cycles, approvals, and change history.
- Maintain a centralized knowledge base to ensure documentation remains current throughout the engagement.
Technical Validation & Knowledge Assurance
- Build knowledge of relevant systems to understand and validate documented procedures through practical use.
- Test draft SOPs and runbooks by confirming completeness, accuracy, and workability.
- Identify missing steps, assumptions, dependencies, access requirements, and undocumented areas of critical knowledge.
- Troubleshoot technical issues to differentiate process/documentation gaps from underlying system issues.
Governance, Risk & Controls
- Identify processes with concentrated critical knowledge/access and recommend mitigation.
- Document access, security, change, recovery, and other control-related procedures within scope.
- Highlight unclear ownership, control weaknesses, undocumented dependencies, or governance gaps and track remediation actions.
- Maintain a structured register of documentation gaps, risks, dependencies, actions, owners, and status.
Process Improvement & Standardization
- Standardize IT workflows and documentation formats.
- Identify and recommend improvements for inefficient manual steps, unclear hand-offs, and recurring friction.
- Ensure documentation and controls are updated with validated system/process changes.
- Design documentation and governance practices for effective maintenance by internal teams.
Delivery & Stakeholder Coordination
- Deliver against an agreed six-month work plan with clear priorities and acceptance criteria.
- Provide regular updates on documentation coverage, validation status, unresolved gaps, and governance risks.
- Collaborate with the IT Manager and process owners to validate procedures and secure approval.
- Complete a structured handover covering the knowledge base, documentation standards, ownership model, and outstanding actions.

Qualification and Experience
Required:
- 4+ years in IT governance, operations, systems administration, or technical documentation, with demonstrable hands-on technical exposure.
- Proven experience in developing and maintaining SOPs, process maps, or technical procedures.
- Practical working knowledge of core IT environments, including networking, device management, and productivity platforms.
- Ability to validate documentation and engage credibly with technical stakeholders.
- Experience in delivering defined projects or work streams while coordinating with multiple stakeholders.
Nice to Have:
- Formal IT governance, audit, or service-management certifications (ITIL, COBIT, ISO 27001, etc.).
- Experience with documentation systems like Notion, Confluence, or SharePoint.
- Exposure to regulated environments focusing on documentation quality and control effectiveness.
- Project coordination or project management experience, particularly in complex environments.
