About the Role
The VisualfabRIC Administrator is responsible for the administration, governance, and day-to-day operation of the Visualfabric, Trade Promotion Management platform. The role ensures data integrity, system compliance, accurate claims processing, timely sales uploads, and effective user support while partnering closely with Finance, Sales, and other teams to maintain a robust trade spend management process. As part of the Commercial Excellence function in Saudi Arabia, the role reports to the Commercial Excellence Lead and is based in Jeddah.
Key Responsibilities
System Administration & Governance
- Manage the day-to-day operation and maintenance of the Visualfabric platform.
- Administer user access, including onboarding, role changes, periodic reviews, and access removals.
- Ensure data integrity and compliance with internal policies and controls.
- Support system enhancements, testing activities, and troubleshooting of platform-related issues.
Trade Spend Operations
- Upload and validate sales data within agreed timelines.
- Monitor and clear system backlogs while maintaining data accuracy.
- Allocate claims to the appropriate promotions, contracts, and commercial agreements.
- Support end-to-end claims management processes and ensure completeness of supporting documentation.
Controls & Compliance
- Execute and support key internal controls related to sales uploads, access management, and claims verification.
- Perform periodic reviews to ensure evidence accuracy, policy compliance, and audit readiness.
- Support internal and external audits through proper documentation and control execution.
User Support & Training
- Act as the first point of contact for Visualfab users across functions.
- Deliver training sessions and onboarding support to new users.
- Resolve user queries and system issues in a timely manner.
- Develop and maintain user guides and process documentation.
Stakeholder Coordination
- Follow up with stakeholders to ensure timely approval of promotions, contracts, and claims.
- Work closely with Commercial Excellence, Finance, Customer Teams, and Shared Services to improve process efficiency.
- Support continuous improvement initiatives to strengthen trade spend management capabilities.
Qualifications & Experience
- Bachelor's degree in Business Administration, Finance, Accounting, Information Systems, or a related field.
- 2-5 years of experience in Trade Spend Management, Commercial Operations, Sales Operations, Finance Operations, or TPM system administration.
- Experience working with the Visualfabric platform.
- Strong analytical, reconciliation, and problem-solving skills.
- High attention to detail with a strong compliance and control mindset.
- Proficiency in Microsoft Excel and ERP/reporting systems.
