About the Role
In this role, you will be integral to the smooth operation of company procedures related to documentation and employee management. With a focus on ensuring compliance with government mandates and supporting our employees in their various visa and labor requirements, you will be tasked with coordinating crucial paperwork and acting as a liaison with government departments. Your key responsibilities will involve managing both the documentation and processes that affect employee contracts, visas, and other necessary permits.

What You'll Do
- Handle paperwork and documentation for the company.
- Coordinate business setup approvals.
- Manage government mandates and licensing.
- Liaise with immigration and labor departments.
- Submit and process all types of applications and paperwork to local government bodies.
- Proactively manage the timely renewal of all employee contracts, visas, and labor permits.
- Assist employees in renewing visas for their immediate dependents.
- Notify employees about documentation required prior to their visa/labor card expiry.
- Manage the visa checklist to reflect changes in visa/labor rules.
- Assist the company and employees with visa arrangements in embassies.
- Maintain a database of all passports and residence visas by scanning documents and updating the database with any changes.
- Renew all company-related licenses prior to their expiry date.
- Send notifications on documentation required to renew trade licenses and complete surveys as required by government bodies.
- Submit detailed reports related to visa expenses to management.
- Provide the required documentation to banks and process bank transactions as advised by the General Manager.
- Manage post office activities (checking, processing, etc.).
- Provide support and guidance for the development and implementation of company policies and procedures.
- Collaborate with global People & Culture teams for talent acquisition activities and other aspects of the employee lifecycle.
Requirements
- High proficiency level of English and Arabic languages is required.
- Experience in Office Management or People & Culture (Human Resources).
- Proven experience handling recruitment processes and other HR-related matters.
- Excellent knowledge and experience with local government legislation and local platforms.
- Willingness to work from the office at least 3 times per week.
