As an Operations Administrator, you will be the operational and logistical liaison for our learning products within the U.K and MENA region. You will have a proven track record in successfully managing client relationships and delivering to expectations in a customer-centric, detail-oriented, and timely manner. A strong, existing network of suppliers and contractor relationships is essential to leverage in this role.

Key Responsibilities:
Team Management (10%)

  • Recruiting temporary staff through temp staff agencies to assist with various events.
  • Training & Onboarding team members to follow standard operating procedures.

Delivery / Operations (90%)

  • Lead all learning events (both virtual and in-person).
  • Manage event schedules, ensuring sufficient time and resources are allocated to each.
  • Liaise with the company clients, consultants, speakers, and internal teams.
  • Create and customize virtual event registration links, invitations, and reminders.
  • Upload content and create custom virtual meeting layouts and event flows.
  • Coordinate with printers, travel partners, venues, and flight agencies.
  • Develop materials like Best Practices, FAQs, and training slides for virtual events.
  • Assist Client Managers in recommending appropriate platforms and features for different event types.
  • Manage communications with trainers, presenters, and virtual coordinators.
  • Schedule and execute rehearsals before live events.
  • Assist as the virtual event host and/or moderator if needed.
  • Provide support for attendee connection issues and basic technical support during events.
  • Generate and download reports on registrations, attendance, polling responses, and Q&A.
  • Process, upload, and retrieve webinar recordings.
  • Research trends and new tools in the virtual event space.
  • Perform basic editing of videos and voice notes or coordinate with suppliers.
  • Some sales support, including case studies, feedback reports, and course promotion support.

Qualifications:

  • Proficient in MS Office programs.

About You:

  • A calming presence who can troubleshoot issues during live events.
  • Ability to remain focused, energized, and organized while managing multiple projects.
  • Experience with virtual platforms like Microsoft Teams, Zoom, WebEx, AdobeConnect, and GoToTraining; experience with LMS platforms is a plus.
  • Detail-oriented, organized, and a process-driven communicator.

Additional Information:
This is a 1-year contract role.

Salary: 13,500 SAR
