Responsibilities

  • Assist with daily operations for assigned fleet and ensure structured management of all operational aspects.
  • Liaise with shipping agents to ensure that documentation is in order for timely vessel clearance in and out of ports, while operating in compliance with relevant local and international regulations.
  • Provide accurate daily, weekly, and monthly reports as necessary and ensure they are properly archived for easy reference.
  • Check and follow up on purchase requisitions submitted by vessels in NS5 to ensure timely delivery of supplies, ensuring that scheduled requisitions comply with procurement procedures.
  • Ensure that purchase orders (POs) are raised for all services and align with purchasing requirements; follow up for completion until service orders (SO) and service requests (SR) are closed in NS5.
  • Monitor monthly adherence to Service Vessel Performance (SVP) and International Safety Management (ISM)/ISPS/Maritime Labour Convention (MLC) compliance reports received from vessels; ensure all reports are uploaded to the company server for future reference.
  • Verify that all vessel certificates and service reports are up-to-date in NS5 and office servers, allowing for accurate referencing at any time.
  • Maintain records of all Vessels' Protection and Indemnity (P&I)/Hull and Machinery (H&M) and flag insurance documents, updating vessels as required.
  • Attend vessel audits, flag, and third-party inspections, ensuring that corrective action trackers are followed up for timely closures.
  • Ensure that all items listed in the Vessel Certification and Safety Equipment Status Checklist are serviced on time and that any equipment repairs are promptly addressed.
  • Assist in compliance with the company's ISM/ISO Quality, Health, Safety, Security, and Environmental policies by ensuring the documentation received from vessels aligns with the requirements.
  • Provide support for the implementation of operational and technical standards and procedures across the business unit.
  • Assist in the preparation of memorandums on operations/technical updates or procedure reminders, vessel inspection reports, operations/technical bulletins, etc.
  • Manage all travel arrangements for operations, technical, and third-party service providers, including tickets, hotels, visas, and travel costs reimbursements.
