Key Responsibilities:
- Support Project Managers in maintaining project plans, action trackers, meeting schedules, and project documentation.
- Assist in preparing project status reports, dashboards, presentations, and management updates.
- Coordinate project meetings, including scheduling, preparing agendas, recording minutes, and following up on agreed actions.
- Maintain accurate project records, registers, and trackers, including risks, issues, changes, decisions, and key milestones.
- Support the PMO team in collecting, validating, and consolidating project information from different teams and stakeholders.
- Assist with the administration of PMO systems, document management platforms, templates, and standard project folders.
- Monitor upcoming project deadlines, reporting dates, governance reviews, and required submissions.
- Support the preparation of portfolio reviews, steering committee meetings, workshops, and PMO initiatives.
- Assist in maintaining PMO procedures, templates, guidance documents, and knowledge repositories.
- Perform general administrative and coordination activities required to support effective project delivery.
Qualifications and Skills:
- Currently pursuing or recently completed a bachelor’s degree in business administration, Project Management, Engineering, Management Information Systems, or a related field.
- Strong organizational skills and attention to detail.
- Good written and verbal communication skills.
- Proficiency in Microsoft Office, particularly Excel, PowerPoint, Word, and Outlook.
- Ability to manage multiple tasks and follow up on actions and deadlines.
- Comfortable working with data, reports, trackers, and structured documentation.
- Proactive, dependable, and willing to learn.
- Ability to work collaboratively with Project Managers, PMO team members, and other stakeholders.
