The Project Coordinator plays a crucial role in ensuring the Operational Excellence department and the transformation programme operate efficiently. This involves keeping governance forums running, tracking actions and RAID (risks, assumptions, issues, dependencies), managing documentation, scheduling workshops, training, and champion activities across various facilities. The coordinator will also be responsible for accurate and timely reporting to the Manager and governance bodies.

Main Purpose of the Job

To provide the essential coordination, documentation, and reporting support that enables a lean specialist team to function effectively across all facilities. The aim is to record decisions, close actions, control documents, schedule sessions, and keep stakeholders informed.

Key Responsibility Areas

Key Responsibilities

  • Governance & Coordination:
    • Coordinate key governance forums such as Process Council, Change Control Board, performance reviews, and partner meetings.
    • Prepare meeting packs, document decisions, and ensure timely follow-up of agreed actions.
  • Programme & RAID Tracking:
    • Maintain accurate records of the programme, tracking risks, assumptions, issues, dependencies (RAID), milestones, stage gates, benefits, and continuous improvement backlogs.
  • Document & Repository Management:
    • Ensure effective document control across BPM and SharePoint repositories, maintaining accurate version control, publishing, access management, and timely re-certification of process documentation.
  • Workshop, Training & Engagement Coordination:
    • Coordinate workshops, pilots, training, and champion activities across facilities, handling scheduling, attendance, materials, logistics, and collecting participant feedback.
  • Reporting & Department Administration:
    • Prepare status reports, dashboards, and presentations. Support departmental budget and procurement activities, while continuously improving administrative processes, tools, and methods.

Required Education

Essential Education

  • Bachelor’s degree in Business Administration, Project Management, Health Administration, or a related field.

Desired Education

  • CAPM/PRINCE2 Foundation or equivalent project-coordination certification.
  • Proficiency in Microsoft 365, Excel, and PowerPoint.
  • Arabic language skills are desirable.

Required Experience

Essential Minimum Experience

  • At least 4 years of experience in project coordination, PMO support, or programme administration, with a minimum of 2 years in a healthcare or multi-site organization.

Desired Experience

  • Basic understanding of digitalization, automation, and AI concepts to support technology-mapping workshops, track the automation/AI pipeline, and coordinate transformation activities.
  • Experience in supporting a transformation programme with external partners, maintaining RAID logs, action trackers, and governance packs.
  • Experience in scheduling multi-facility training and workshops and working with process repositories or document control systems.

Required Job Skills and Knowledge

  • Verbal and written communication skills in Arabic
  • Strong project coordination and PMO administration skills
  • Knowledge of digitalization, automation, and AI fundamentals
  • Experience in RAID, action, and milestone tracking
  • Document and version control skills (SharePoint, BPM repository)
  • Proficient in Microsoft Excel, PowerPoint, and Word
  • Skills in meeting facilitation, minute-taking, and decision logging
  • Ability to manage scheduling and logistics across multiple sites
  • Competence in report preparation and data consolidation
  • Strong stakeholder communication and follow-up skills
  • Basic awareness of process/BPMN
  • Familiarity with operations command centres and AI adoption programmes
  • Administrative skills related to budget and procurement
  • Understanding of healthcare organizational structures
