Job Description:
In this role, you will provide high-level administrative and coordination support to the office's daily activities. The responsibilities include maintaining project schedules, organizing meetings, managing documentation, and supporting internal communications to ensure efficient departmental functions and project execution.

Key Responsibilities:

  • Coordinate administrative and operational activities related to office projects, including tracking timelines, schedules, and task assignments.
  • Liaise with internal teams and clients to clarify project objectives, requirements, and deliverables.
  • Provide administrative assistance to project teams, including report schedule management, document preparation, and data entry.
  • Maintain organized project documentation, ensuring all files, records, and reports are current and accessible according to Royal Commission standards.
  • Handle routine administrative tasks including document filing, photocopying, and distribution of communications and reports.
  • Support preparation of presentations, reports, and other departmental documents.
  • Act as a central point of contact for project status updates and communication among stakeholders.
  • Schedule and coordinate internal and external meetings, prepare agendas, take meeting minutes, and follow up on action items.
  • Assist in identifying and analyzing project risks and escalate concerns to the appropriate authority.
  • Prepare statistical and analytical reports as requested by management.
  • Provide general administrative support to the Office Department and assist other departments with construction-related documentation and coordination needs.
  • Support system updates, data entry, and maintenance of project databases and administrative systems.

Required Skills:

  • Bachelor Degree/Diploma in Business Administration, Finance, or a related field.
  • Minimum of 3 years of project experience in project coordination, document control, administration, and support.

Desired Skills:

  • Ability to prepare project reports, organizational structures, flowcharts, schedules, and action plans.
  • Strong organizational skills, including multi-tasking and time management.
  • Proficient in Microsoft Word, Excel, PowerPoint, and data processing software.
