Key Responsibilities

  • Event budgetary P&L and financial baseline:
Review the event budgetary P&L alongside the contract, commercial assumptions, cost estimates, and evidence requirements. Test event profitability and cash timing, including deposits and settlement dates. Record the approved event baseline and explain actual variances.
  • Prior contract and Finance review:
Identify reconciliation requirements in the Legal instruction, agreement, or approved business case. Review the contract and budgetary P&L together before the approval route proceeds. Verify counterparties, currencies, tax assumptions, percentages, settlement bases, caps, exclusions, guarantees, commissions, FOC entitlements, and permitted deductions. Document Finance comments and conditions; retain the required Finance and Legal approval references and executed agreement.
  • Settlement rules and event cash position:
Create the contract entitlement schedule and recalculate expected profit share, venue share, commission, and reimbursable costs. Link each amount and deduction to an approved term. Monitor event receivables, liabilities, advances, and due dates. Confirm approved changes separately from the original baseline and preserve earlier versions. Resolve commercial interpretation with Legal and the contract owner before treating it as an established entitlement.
  • Tracker creation and delivery monitoring:
Create and personally maintain one controlled Excel tracker and event evidence folder at baseline approval. Link event, contract, Legal, customer, CRM, CPQ, ERP, PR, and PO identifiers. Track actuals, commitments, accruals, collections, delivery, variances, and approval status throughout the event. Obtain delivery, ticketing, and settlement evidence from Commercial and Operations and record missing support, accountable party, and due date.
  • Revenue, cost and source reconciliation:
Personally match ticketing and partner reports to CRM and CPQ, invoices, credit notes, and the AR ledger. Independently match receipts to bank, cashbook, and official receipt allocation. Match PRs, POs, approved rates, invoices, advances, and payments to delivery evidence. Check for duplicate payments, overlapping allocations, cancellations, and cut-off. Separate paid, complimentary, house, sponsor, and barter entitlements; verify recipient acknowledgment and avoid double deductions.
  • Two-day pack, event P&L and closure memo:
Prepare, review, and submit the complete indexed reconciliation pack within two calendar days after the event. Include approved event P&L and contract, budget to actual working, draft P&L, settlement calculations, supporting evidence, manual adjustment schedule, approvals, and exceptions. Prepare the closure memo personally. Coordinate AR and AP confirmation and independent Planning and Budgeting validation of ERP and final P&L. Obtain designated approval before marking financial closure complete.
  • Evidence integrity and accounting treatment:
Maintain direct traceability from every material event balance and settlement line to original support. Separate verified actuals, accruals, estimates, allowances, provisions, and possible recoveries. Record assumptions and do not force totals, move costs between events, assume collections, or treat unsupported exceptions as confirmed debt. Explain tax, exchange, timing, and posting differences separately and coordinate corrections through the approved accounting route.
  • Exception ownership and timely escalation:
Maintain and personally follow up the exception register with issue, impact, supported amount or estimate, responsible party, action, due date, and required evidence. Escalate material variances, missing support, cash gaps, or control breaches immediately to the Director Finance & Support Services and EVP DXB Live. Escalate foreseeable deadline slippage before the two-day deadline; submit the available supported position with exceptions and continue to complete the pack. Review delayed closures daily.
  • Independent validation and controlled closure:
Coordinate AR confirmation of billing and receipts, AP confirmation of invoices and liabilities, and Planning and Budgeting validation of ERP postings, accruals, period, and final P&L. Preserve independent review and approval under the agreed RACI and DOA. Retain the approved pack, original evidence, review comments, and exception history in the authorized repository under DWTC retention rules. Reopen through approval when later evidence changes the financial position. The quality and IMS support process control; Internal Audit remains independent.
  • Direct delivery accountability:
Personally own contract review, tracker maintenance, source matching, event P&L preparation, settlement, closure memo, and follow-up. Maintain the event closure calendar and sufficient cover for deadlines without transferring this accountability. Support Finance colleagues with clear working, process training, and control guidance; remain responsible for the completeness and accuracy of the submitted event pack.
  • Event reporting and process improvement:
Report event profitability, collection and liability status, two-day pack compliance, closure stage, and overdue exceptions. Distinguish pack submission from final approval and show the supported exposure and next action. Use recurring differences, audit observations, and control failures to improve the tracker, process, and evidence quality with relevant functions. Preserve confidentiality and access controls.

Operating Environment
Based at the DXB Live office, with event site and occasional travel requirements. Works across concurrent events, systems, and tight closure deadlines. Effective communication, source accuracy, and confidentiality are essential.

Formal Education

  • Mandatory: qualified Chartered Accountant or fully ACCA qualified. A degree or part qualification alone does not meet this requirement.

Work Experience

  • At least eight years of relevant finance experience, including direct ownership of event or project reconciliation, contract settlements, accounting controls, and closure. UAE or GCC experience preferred.

Skills and Knowledge

  • Strong accounting judgement, event P&L analysis, contract interpretation, revenue and cost reconciliation, accruals, cash substantiation, and cut off.
  • Advanced Excel and working knowledge of CRM, CPQ, and ERP.
  • Ability to challenge unsupported amounts, preserve evidence, and resolve cross-functional exceptions.
  • Familiarity with DWTC policies, delegation of authority, Legal workflow, tax and accounting controls, relevant systems, data protection, and event closure procedures.
