About the Job
The Specialist - Project Management at Presight plays a key role in supporting the successful planning, execution, and completion of projects within the organization. In this role, you will assist the project manager in coordinating project activities, tracking progress, and ensuring effective communication among team members. Your contributions are crucial in maintaining project documentation, organizing meetings, and facilitating collaboration to ensure projects are delivered on time and within budget.
Responsibilities
Key Responsibilities:

Project Planning and Documentation
- Assist in developing project plans, timelines, and milestones in collaboration with the project manager.
- Create and maintain project documentation, including project charters, schedules, meeting minutes, and status reports.
- Track and communicate project progress, milestones, and deliverables to stakeholders.

Team Coordination and Communication
- Coordinate project team meetings, including scheduling, agenda preparation, and meeting logistics.
- Facilitate effective communication among project team members, stakeholders, and external vendors.
- Ensure timely distribution of project-related information and documentation to relevant parties.

Resource Management
- Assist in resource allocation and coordination, including managing project calendars, schedules, and assignments.
- Monitor resource availability and utilization, identifying and escalating any potential conflicts or constraints.
- Coordinate with department managers or resource owners to ensure the availability of necessary resources for project activities.

Risk and Issue Management
- Assist in identifying, documenting, and tracking project risks, issues, and dependencies.
- Support the project manager in implementing mitigation strategies and contingency plans.
- Collaborate with team members to resolve project-related issues and escalate critical concerns to the project manager.
- Support the project manager in ensuring adherence to project management standards and best practices.
- Perform quality checks on project deliverables to ensure they meet established criteria and standards.
- Contribute to lessons learned sessions and knowledge sharing to enhance project management processes.

Stakeholder Engagement
- Assist in maintaining positive relationships with project stakeholders, ensuring their needs and expectations are addressed.
- Coordinate stakeholder communications, including status updates, progress reports, and meeting coordination.
- Serve as a point of contact for project-related inquiries and provide timely responses to stakeholders.
- Comply with policies and procedures related to Quality, Health, Safety, Environment (QHSE), Business Continuity, Information Security, and Governance of Organizations.
Qualifications
Requirements:
- Bachelor's degree in a relevant field or equivalent work experience.
- 2-4 years’ experience in a similar role.
- Proven experience in project management, project coordination or a similar role, demonstrating the ability to support project execution and coordination.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication skills, both written and verbal.
- Proficiency in project management software and tools (e.g., Microsoft Project, Jira, Trello) is preferred.
- Strong problem-solving and critical-thinking skills.
- Ability to work collaboratively in a team environment and establish positive working relationships.
- Familiarity with project management principles, processes, and terminology.
- Knowledge of project management methodologies and frameworks (e.g., Agile, Scrum) is a plus.
- Attention to detail and a commitment to delivering high-quality work within established deadlines.
- Must be self-motivated, adaptable, and able to juggle priorities.
