As a CDE Manager, you will be primarily responsible for implementing document control procedures, setting up, configuring, adapting existing systems and managing Common Data Environment (CDE). The ideal candidate will be working with internal client document-control team and would be responsible for maintaining the associated IT systems (cloud / on-premises).
Key Responsibilities:
- Capturing Requirements: Engaging with stakeholders to gather requirements, define the processes and translate the requirements into system specifications.
- CDE evaluation: Selection of CDE product by analyzing the captured requirements and benchmarking the products in the market.
- Recommendations: Analyze the market and make timely recommendations for migrating to a better CDE product in case of any potential issue (vendor-wise or technical-wise) with existing CDE solution.
- Configuration & IT Support: Reconfiguration of existing CDE systems based on requirements and internal IT security policies. Support internal IT teams on technical issues around the configuration of CDE systems and also support the teams with DR drills (Disaster Recovery).
- Road map & Milestones: Develop & configure workflows for new processes and activities. Prepare, define and implement the road map. Follow up and ensure the completion of milestones as proposed.
- CDE Administration: Day to day Management and configuration of CDE. Adding & maintaining user accounts, security groups. Respond to ad-hoc requests from internal teams and resolve specific system issues/queries related to CDE. Liaise with BIM Manager and standardize the naming protocol for documents.
- CDE Training: Prepare and update training guides & quick reference sheets. Organize and undertake regular training sessions for new users and refresher training for existing users.
- New Technology: Make recommendations on any new technology related to BIM, Digital Twin, AR/VR that can add value to the organization. Communicate with different product Vendors, organize a demo of their products, maintain logs, benchmark and shortlist products.
- QA/ QC: Conduct periodic quality checking on the documents uploaded to the CDE system. Identify issues, make fixes as required or raise with relevant individuals to take action. Ensure the systems is adhering to the internal policies.
- Support Auditing: Support the teams with providing documents and prepare for different auditing such as ISO audit, Organization audit, IT audit etc. Capture all the NCRs (Non compliance Reports) found in the audit, maintain a log, follow up and close the NCRs on a timely basis.
- Escalation: Try to fix all the issues related to CDE administration and for the ones that could not be solved, raise tickets with the vendor, follow up and close the tickets on a priority basis.
- Contract Management: Keep track of the license, contract renewal/expiry of different systems under the control of CDE manager. Send timely notifications and reminder to relevant teams for renewal and maintenance of the systems ensuring business continuity.
- Logs: Prepare documentations for change management, user training, trouble-shooting, weekly/monthly reports, NCR reports, auditing reports, escalated tickets, lessons-learned etc.
Requirements:
- Experienced Information or CDE manager with a minimum of 4+ years of experience in a managerial role.
- Bachelor’s degree in Computer science, Information Technology, Civil/Mechanical Engineering or related field; Master's degree preferred.
- Proficiency in ISO 19650 processes and other common BIM processes.
- Good knowledge & prior experience in systems administration (Windows/Linux) to coordinate with CDE administrator and delegate relevant tasks.
- Experience in creating scripts to automate periodic tasks. (Windows: PowerShell or Linux: Shell scripting)
- Administrator & user level experience using any CDE or EDMS systems such as Bentley CDE, Projectwise, Autodesk Construction Cloud, Aconex etc. Preferably, Bentley CDE.
- Advanced Microsoft Office skills and creating visually stunning presentations to present the reports and ideas.
- Excellent interpersonal skills and ability to communicate with people at all levels.
- Well organized and ability to manage multiple requirements simultaneously.
- Prior experience in setting up and maintenance of CDE/ EDMS systems.
- Knowledge of Digital Twin, GIS technologies.
