Responsibilities
- Maintain and implement an effective filing and administrative system for all departmental matters, including a comprehensive database of customers, sponsors, media, and potential clients for targeted communication.
- Formulate all correspondence related to the client base, media, sponsorship proposals, letters of thanks, and any required business communication to ensure effective communication.
- Maintain an updated file of the company's press kit, biographies, developments, and photography for marketing purposes.
- Assist the General Manager in developing an Annual Marketing & Communications Plan promoting the property, Rooms, and Food & Beverage goals monthly.
- Handle dissemination of information to the media and maintain effective working relationships with members of targeted media (electronic and print) to maximize coverage of events and promotions.
- Host members of the media, strategic partners, and clients at functions and events as required.
- Manage advertisement functions to ensure all advertisements are effective and reflect a positive image of the property and the brand.
- Establish effective relations with agencies to optimize publicity materials (print collateral, radio campaigns, advertising) and manage production of promotional materials, including gathering data and briefing agencies/printers for effective marketing campaigns.
- Follow up on matters related to the Marketing Communications Department, including press releases and collateral delivery to ensure project completion within targeted timelines.
- Manage online content and imagery on the company's website and the publication of Employee newsletters and Intranet to ensure accurate information and appropriate images.
- Monitor all media releases about the property and competitors to keep the department informed on media coverage and competitor activities.
- Facilitate effective communication with all departments within properties for efficient inter-property information dissemination.
- Manage direct marketing campaigns targeting identified markets via surface or electronic mailing, including Rewards programs.
- Capture photographs of internal functions, Banquet and Conference events, and VIP visits for possible press release distribution and documentation.
- Submit a monthly report to the General Manager and Corporate Vice President - Marketing updating on departmental activities.
- Attend division and General meetings, handling the writing of minutes and documentation as required.
Requirements
- Strong organizational and communication skills.
- Experience in marketing and communications, preferably in a hospitality context.
- Proficiency in managing databases and online content.
- Ability to work effectively with media and manage advertising functions.
- Excellent interpersonal skills for hosting clients and media.
